Privacy Statement

On 25 May 2018 the General Data Protection Regulations (GDPR) and the Data Protection Act 2018 came into force across Europe. This legislation replaced the existing Data Protection Act 1998 and establish the principles by which the Council uses information about living individuals.

Peoples’ right to privacy is recognised by The Caldwell Halls and all our processing of personal information is compliant with GDPR and the Data Protection Act 2018.

To meet the requirements of GDPR The Caldwell Halls is improving the way it explains how personal information is used. All the new privacy notices, providing details on how the personal information is used to provide services, are available on The Caldwell Halls website:

Who will process?

The personal data you provide to us through any of our forms relating to letting of The Caldwell Hall and also any personal data we collect about you (“The Personal  Information”) will be processed by The Caldwell Hall   16 Campsie Road Torrance G64 4BN for the administration and booking such lets within The Caldwell Hall

Why will it be processed?

The Personal Information will be used by The Caldwell Hall to process applications and administer lets in The Caldwell Hall

It will also be used to:    

  • check the information we hold is accurate, and;
  • send you information relating to activities in The Caldwell Hall

Who will have access to the Personal Information?

The Personal Information will be accessed by Trustees of The Caldwell Halls.

What is the lawful basis for processing Personal Information?

The use of Personal Information is necessary to take steps to form a contract of let with you.

Do I have to provide Personal Information?

You do not have to provide the Personal Information to us. Without the correct information however, we will not be able to process your application for a let of The Caldwell Halls and may not be able to corm a contract with you.

How long will you keep the Personal Information?

We will hold the Personal Information from the end of the current year for which the application for let has been made, for a period of 5 years. The Personal Information will be retained for the minimum period necessary.  The Personal Information will then be destroyed after this period.

What are my rights?

You have the right to access the personal information The Caldwell Halls holds about you. This right is called a Subject Access Request, often referred to as a SAR.

You can receive a copy of your personal data held by The Caldwell Halls, details on why it is being used, who it has been/ will be shared with, how long it will be held for, the source of the information contact admin@caldwellhalls.co.uk for further information.

Right to rectification

You have the right to request The Caldwell Halls correct any information held about you that is inaccurate

Right to erasure

You have the right to request that The Caldwell Halls delete the personal information about you. This right is known as the right to be forgotten.

Right to restrict processing

You have the right to request that The Caldwell Halls stop using your personal information, while retaining a copy of it.
